We sent the carrier quote. How a benefits agency builds a real proposal with an AI proposal generator.
Most benefits agencies send the carrier’s quote as their proposal because building a real one by hand takes too long. An AI proposal generator fixes that: you drop the carrier quote PDF in, it pulls the exact rates and plan designs, and it lays them out in your agency’s brand. In retrospect, sending the carrier quote was embarrassing, because we didn’t know there was a better way.
Why do agencies send the carrier’s quote as the proposal?
Agencies send the carrier’s quote as the proposal because the carrier already did the math, and retyping it is slow. We didn’t have a set proposal. We sent the carriers’ quotes, like most of the other brokers were told to. The quote is accurate, but it’s the carrier’s document. It has the carrier’s layout, the carrier’s logo, and none of your agency on it.
What do most agencies try first?
Most agencies try having someone rebuild the quote in Excel. In our case, somebody forced our account manager to put everything in a spreadsheet and manufacture graphics, with no experience doing either. The bottleneck was our account manager, by no fault of their own.
That workaround breaks in two places. Every number gets typed twice, once by the carrier and once by you, so every proposal is a chance to mistype a rate. And the graphics depend on whoever happens to be good at them. When that person is out, proposals wait.
Wanna fix it?
A slow, homemade insurance proposal gets fixed with a generator that reads the carrier quote PDF, maps where the rates and plan designs sit, and builds the proposal in your brand, with a person who checks it before it goes out.
- Collect every quote from every carrier you get. Different carriers put the rates in different places. You need samples of each.
- Map the fields once. A custom agent learns where each carrier puts the rates and plan designs, and a parser pulls the exact numbers from every new quote, with no guessing.
- Build the generator on your own look. Your colors, your fonts, your agency’s brand guidelines. It should look like it came from you, because it did.
- Save the producer details. Pick the producer from a list and their name and contact information fill in.
- Read every proposal before it goes out. The machine pulls the numbers. A person owns what gets sent.
What does it look like once it’s running?
Once an AI proposal generator is running, a proposal takes about as long as a download. Here’s mine. I drag the carrier quote into an app one of my agents built. It pulls the rates for 8 medical plans across 4 coverage tiers, lays them out in a way a client can read, and reads the name of the company off the quote. I review the numbers before I confirm them. I select myself as the producer, and all my information is already saved. I pick one of 9 cover layouts and a photo from a gallery of 63.
Ancillary and voluntary plans come along too. I keep rate tables for ten product lines from an ancillary carrier. Dental is priced by the client’s zip code, and life and disability by SIC code. Then we download, and a split second later, we have a proposal to send.
It also builds a separate employee benefit booklet, with 10 cover styles. One click creates the group in my enrollment platform and puts a QR code to the enrollment page on the booklet. I built it and it ran in production. What’s left for a person is judgment: which plans to lead with, and what to say on the call.
Can you do this yourself?
Yes, for a template. An insurance proposal template in Word, Excel, or Canva beats sending the carrier’s quote, and any account manager can fill one in. Keep one layout, one set of colors, and a cover page with your agency’s name on it.
Where a template stops is the typing. A template still needs someone to copy every rate off every quote, and the typing is where rates get missed. It also can’t read a PDF, so it can’t keep up in a busy renewal season. A few proposals a month, a good template is enough. A quote on every desk every week, build the generator.
