“9 months until your renewal. Call my account manager.” Automated monthly client updates for benefits agencies.
Automated monthly client updates are short, scheduled emails that keep a benefits client hearing from you between renewals. The fix is a monthly send built from two things: a useful health article for groups on self funded or level funded plans, and a renewal countdown that tells them how many months they have left. I haven’t sent these yet, but I know exactly what I’d build, and one piece of it exists mostly to mess with my account manager.

What’s a stewardship report?
A stewardship report is a broker’s periodic review for a client, usually once a year, covering how the plan performed, what the broker did for the client, and what comes next. It’s a good document, and it happens once a year.
A monthly client update covers the months in between. It’s lighter: something useful, something funny, and a reminder that you’re there.
What do most agencies try first?
Most agencies try a newsletter: one edition for every client, written when someone has time. It goes out for a few months, then quietly stops during renewal season. It’s also generic, and a fully insured group and a self funded group care about different things.
Wanna fix it?
Silence between renewals gets fixed with automated monthly client updates: a health article matched to the client’s plan type, a renewal countdown, and a person who approves each month’s send.
- Sort clients by plan type. Self funded and level funded groups get health content, because in those plans the employer carries more of the claims cost.
- Send one useful article a month. Things that keep people in good health, short enough for HR to forward to employees.
- Add the countdown. Even 9 months out: “You have 9 months until your renewal. Call my account manager.” He hates that, by the way. I’d do it just to mess with him.
- Pull the facts from your own records. Renewal date, plan type, and account manager name fill in each email automatically.
- Approve before it sends. A person reads each month’s batch before anything goes out.
What would it look like once it’s running?
Once it’s running, the updates go out on the same day every month without anyone remembering to send them. The account manager reviews the batch, fixes anything that’s off, and approves it. Clients who call because of the countdown are calling early, which is the point.
I already run this pattern on myself. Every weekday at 7am, a digest builds itself from my open tasks and the meetings that still need a next step. No AI writes any of it. It just gathers the facts. A monthly client update is that same idea pointed at clients. Since I haven’t sent these to clients yet, I can’t tell you what they do for retention.
Can you do this yourself?
Yes. Keep a list of clients with their renewal dates and plan types. Once a month, write one short article, paste it into an email, add each client’s months until renewal, and send it. An email marketing tool with a merge field for the renewal date does most of the work.
It stops working in the months you’re too busy to write, which are the months it matters most. A few clients, write it by hand. A full book, automate the build and keep the approval.
