What an AI sales assistant does for a benefits agency
An AI sales assistant for a benefits agency is a set of tools built around how the agency already sells: it turns a carrier quote into a branded proposal, lines up a renewal against last year, gives each prospect a deal room, and takes the meeting notes. DoBetter (dobetter.plus) builds these for small benefits agencies, and I’m Chris Cordon, a 17 year benefits producer who built and runs every one of them at my own desk first.
What does an AI sales assistant actually do at an agency?
An AI sales assistant handles the four jobs between “we got the quote” and “they signed.” At DoBetter those are proposal generation, quote comparison, digital sales rooms, and a meeting notetaker with a live copilot. Each one is a separate tool. They hand off where it counts: the proposal generator creates the group in my enrollment platform with a QR code on the booklet, and meeting summaries land where I can paste them into the deal room.
The assistant does the reading, the math, and the formatting. The producer still runs the meeting, picks the plans to show, and has the conversation.
What does the sales desk look like before and after?
Before, most benefits agencies send the carrier’s quote as is. That’s what most brokers were told to do. When somebody wants it to look better, the account manager gets handed the job: rebuild everything in an Excel spreadsheet and make the graphics, usually with no design experience. The bottleneck at my agency was our account manager, by no fault of their own.
“In retrospect, sending the carrier quote was embarrassing because we didn’t know there was a better way.”
After, I drag the carrier quote PDF into a proposal generator one of my agents built. It pulls the rates for 8 medical plans across 4 coverage tiers, reads the company name, and fills in my producer information. I review the numbers, then pick one of 9 cover layouts and a photo from a gallery of 63. Ten ancillary and voluntary product lines come from rate tables: dental priced by zip code, life and disability by SIC code. Then I download it, and a split second later, we have a proposal to send.
Renewals work the same way. The current quote and the renewal PDF go in, the plans line up side by side, and the premium math is done.
What does a meeting notetaker with a live copilot do?
A meeting notetaker records the call, writes the summary, and hands the follow up to the next step. Mine is a Mac app I built after I left the company that paid for Fireflies. I was running meetings and running out of yellow notepads. It records my microphone and the call audio separately and transcribes on my Mac. In my experience, the summary is saved within 60 seconds of the meeting ending, and a notification pops up on my Mac. My agent reviews it and acts on anything that needs follow up.
The live copilot listens during the call. Once, a prospect named one priority, then named a different one 20 minutes later. The copilot flagged it to me privately, so I could go back and sort out which one really mattered. “It made me look a whole lot smarter and more attentive than I actually am.”
What is a digital sales room?
A digital sales room is a private web page for one prospect that holds everything they need to make a decision. The first page of mine is a mutual action plan I fill in myself. An automation dropped each meeting’s summary into my CRM, so filling in the plan was copy and paste instead of retyping from memory. There’s a welcome video from me, documents picked to be forwarded to the rest of the buying committee, and client references when they’re needed. When I see a buyer open a specific document, I know the deal is still moving.
What won’t an AI sales assistant do?
An AI sales assistant won’t sell for you. It won’t pick the right plan for a client, give compliance or legal advice, or replace the account manager. It takes the retyping and the formatting off the account manager’s plate so that person can do the work a person should do.
Who is it a fit for?
An AI sales assistant fits a benefits agency that quotes the same carriers over and over and still retypes the numbers every time. It’s a poor fit for an agency that sends a handful of proposals a year, or one that’s happy sending the carrier quote as is.
Quick answers
- Does it work with my carriers?
- It’s built around the quotes your agency actually gets. The first step is mapping where each carrier puts its rates and plan designs.
- Will it replace my account manager?
- No. It removes the Excel rebuild so they can spend time on clients.
- Can I start with one tool?
- Yes. Most agencies start with the proposal generator.
- What does it cost?
- Every build is a fixed fee, scoped after a $1,500 discovery. The intro call is free.
